
ORGANIZATIONAL ARRANGEMENTS
I. Room and board
1. Due to the exceptional character of the Festival, its program and organization, it is mandatory that all foreign contestants and guests are accommodated at the festival hotel/s throughout the duration of the event.
2. The above condition (1.1) does not apply to Polish contestants, however, it is recommended that they are accommodated in the city of Bydgoszcz.
3. All foreign contestants and international guests are to be accommodated at the comfortable Qubus Hotel Bydgoszcz**** (comfortable standard rooms - without balconies). Total rates for 5 nights (Check-in on August 11, 2026 / check-out on August 16, 2026):
- Single room – 1,500 PLN
- Double room – 1,875 PLN
- Triple room - 2,375 PLN
*Note: The rates shown above are per room, not per person.
4. It is possible to book higher standard rooms for an additional fee:
- Room with balcony +150 PLN
- Superior Room + 500 PLN
*Note: The rates shown above are per room (not per person) for 5 nights.
5. Children up to 3 years of age are accommodated free of charge.
6. The Qubus Hotel Bydgoszcz**** offers bed and (buffet) breakfast. Additional meals may be purchased directly from the hotel.
7. The additional meals must be consumed at times which do not interfere with the festival’s organization.
8. The Qubus Hotel Bydgoszcz**** offers parking on the hotel premises for the entire stay for an additional fee, cost per day - 50 PLN;.
9. To book rooms at the Qubus Hotel Bydgoszcz**** you are required to make a downpayment of 30% of the total amount by May 15, 2026. The balance will need to be paid by July 31, 2026. All hotel payments must be made via bank transfers directly to the hotel account (Information coming soon):

*Note: Any additional fees (commissions) in relation to bank transfers will be borne by the contestants.
10. No refunds will be offered in the event of booking cancellations.

II. Transfers
1. If required, we will organize paid transfers for foreign guests only.
*NOTE: Transfers will be available from the following airports: Warsaw Chopin, Warsaw Modlin, Bydgoszcz, Gdansk, and Poznan. Upon special request we can organize transfers from central Warsaw.
Airport to festival Hotel distances: Bydgoszcz: 4 km; Gdańsk: 170 km; Poznań: 160 km; Warszawa Modlin: 240 km; Warszawa Chopin: 300 km.
2. Alternatively, you are welcome to take a direct coaches from the airports listed above to Bydgoszcz. Please contact us for details.

4. Festival organizers will arrange for free shuttle travel between the Qubus Hotel Bydgoszcz**** and the festival locations, as well as for the excursions organized as part of the Festival program.
5. Any trips and tours made by contestants and guests which are not part of the Festival program are to be undertaken at your own discretion (except for individually agreed situations).
III. Other organizational arrangements
1. All Festival events will be photographed and filmed, and photos or video footage will be made available to contestants against a fee. Detailed information will be provided by the organizers at a later date.
2. Given the nature of our project, you are expected to stay in Festival Hotel - Qubus Hotel Bydgoszcz****, and attend all Festival events throughout the week.
3. Soundchecks / rehearsals for competition participants will be held as follows:
- International Song Contest: Wednesday, August 12, 2026, 11am to 1pm, Location information will be available soon;
- Polish Song Contest: Thursday, August 13, 2026, 12pm to 1pm, Location information will be available soon.
Note: The rehearsal schedule will be sent to participants one week ahead of the festival. The above rehearsal slots are the only ones available.
4. Background music recordings must be submitted in mp3 format only accordance with the Regulation between June 1 - July 1, 2026, at:
- Polish Song Contest, full name of contestant /ensemble, authors and Song Title;
- International Song Contest, full name of contestant /ensemble, authors and Songs Title.
*Note. Regardless, contestants are requested to bring backup copies of the music recording files on pen drives or other compatible media.
5. Contestants who wish to present their custom video materials as background for their performances are requested to submit the relevant files, along with a detailed description, via WeTransfer to:
6. Per the festival program, 3 trips will be organized for your choice: Toruń, Bydgoszcz, Solec Kujawski. Once approved for participation in the competitions, your preferred tour destination should be e-mailed to us along with the following information: language group (Polish, English, Russian), choice of destination (Bydgoszcz, Toruń, Solec Kujawski), name and surname of participants.The e-mail subject should read “Wycieczka” and must be sent not later than by 1 July 2026 to
7. Contestant registration will take on Wednesday, August 12, 2026 between 10.30am and 1pm, and on Thursday, August 13, 2026, between 11:30am and 12:30pm (Location information will be available soon). Registration is mandatory for all contestants.
8. Unaccompanied contestants with chronic diseases, regularly taking medicines, or individuals with health problems, once qualified for the competitions, have the option to advise the organizers of their condition via e-mail at
